01

Leave management that takes care of the rules

Entitlement, pro-rata, carry-over and TOIL — calculated automatically, even for complex working patterns, so HR doesn’t have to maintain a spreadsheet for it.

Admin leave types list with the Edit leave type drawer open for Annual Leave

Entitlement & carry-over

  • Starters, leavers, and part-time schedules — entitlement and pro-rata recalculated correctly, every time.
  • Carry-over between holiday years, on whatever policy you set.
  • Statutory carry-over protection (WTR reg 13): leave blocked by sickness or family leave carries over separately, usable for 18 months after the leave year ends.
  • Bookings that cross your leave-year reset are split into two requests for you, each charged to the right year.

Leave types & allowances

  • Custom leave types beyond annual leave and sickness — configure your own with the rules that fit.
  • Leave banks — a shared allowance (like "Training") that several leave types draw down together.
  • Unlimited-allowance leave types, for when a cap doesn’t make sense.
  • Time off in lieu (TOIL): grants, balance tracking, and a booking guard that stops a balance going negative.

Irregular & zero-hours workers

  • 12.07% accrual calculated automatically, as the Working Time Regulations require for leave years from April 2024.
  • Leave charged at average hours over the statutory 52-week reference period, looking back up to 104 weeks.
  • Staff submit their own hours each pay period for an admin to approve.
02

Effortless leave management

Everything employees and managers need to request, approve, and stay on top of leave, without chasing anyone.

Approvals queue with pending leave requests

Approvals

  • Single or dual approval per request, with bulk approve and reject for working down a busy queue.
  • Approval delegation — approvers hand off their own duties while they’re away, with an end date or left open-ended.
  • Real-time approvals queue — new requests appear without a page refresh.
  • Internal comment threads on a request, visible to admins and approvers only.

Changes & sickness

  • Approvers edit a booking’s dates directly; employees request a date change on approved leave for their approver to confirm.
  • Book the day after an existing absence and Otium One offers to extend it instead — one illness stays one absence.
  • Return-to-work interviews for sickness, recorded on the request itself.

Everyday use

  • A notification bell with a live unread count, plus a full paged history.
  • Works on your phone — install it to your home screen and get push notifications.
  • A keyboard command palette (⌘K / Ctrl+K) to book leave or jump to any page.
  • Hours-mode booking for shift and clock-time working patterns, everywhere or for an individual.

Total visibility, wherever you look

See who’s off, spot cover gaps before they happen, and pull the numbers HR and payroll actually need.

Wall chart

  • Who's off, by day, across your whole team or the wider business.
  • Updates in real time — approve or cancel a request and watch the chart change.
  • Drag across any date range to book leave.
  • A 6-week rolling view or a full calendar month, with your choice of grid lines, icons, and density.
  • Minimum staffing levels — warn or block bookings that would leave a team under-covered.

Reports

  • Bradford factor with trend sparklines, staff utilisation, leave bank and TOIL usage, irregular-hours accrual, and leaver history.
  • Automatic risk alerts to your admins when someone’s absence trend worsens.
  • Payroll or Bradford factor reports emailed weekly or monthly — including to your payroll processor, with no login needed.

Data in & out

  • Every report exports as CSV or a print-ready PDF, including a dedicated payroll export.
  • Bulk CSV import for users and leave history, with one-click undo if a batch needs reversing.
  • iCal feed — subscribe to your approved leave from any calendar app.

Built for modern organisations

Keep access in sync with the rest of your stack and keep a clean record of everything that happens, without extra admin work.

Integrations & access

  • Connect Microsoft 365 yourself in one click — no tenant IDs, no support ticket.
  • Microsoft Entra (Azure AD) single sign-on creates accounts on first sign-in and maps your Microsoft security groups to roles.

  • Slack and Teams notifications rendered as a real card, and Zapier via webhooks on leave events — sensitive leave types left out by default.

Security & governance

  • Tenant isolation enforced at the database layer, not just application code.
  • Multi-factor authentication (TOTP), enforceable for every admin, with breached-password checking.
  • Append-only audit log showing what changed, before and after, kept for six years by default — plus GDPR-aligned erasure and full offboarding.

  • Collapse the header bar and menus to free up screen space, on any screen.
  • Built to be used by keyboard alone, down to moving across the wall chart day by day.
